The 7-step agency onboarding checklist that actually scales
ActiveAds Team July 15, 2026

Why onboarding is retention
Clients decide whether they trust you in the first ten days — long before your first campaign results land. A smooth, predictable onboarding is the highest-leverage thing an agency can systematize.
The 7 steps
- Kickoff brief. Capture the business goal in one sentence, the breakeven ROAS, and the one metric that defines success.
- Access. Connect the ad accounts — Meta, Google, TikTok — and validate data is flowing before moving on.
- Baseline. Snapshot current ROAS, spend, and revenue per account so you have a 'before' to measure against.
- Naming & structure. Agree a campaign naming convention so reports stay readable as the account grows.
- Alert routes. Decide who gets notified when an account drifts below breakeven — Slack, email, or both.
- Reporting cadence. Set the white-label report schedule before the client asks for it.
- First win. Ship the first report at the promised time, even if early, with one concrete recommendation.
The part nobody tells you
Steps 1 and 2 are where most onborading stalls — waiting on access, chasing a brief. Automate the ask: a guided intake that captures the brief and the platform permissions in one flow, so by the time you open the file the data is already syncing.
A signed client sitting in onboarding limbo is a client halfway to churning.
Run this checklist for every new client and the messy, bespoke first week turns into a repeatable system.
